Your Russian University Invitation Letter Was Rejected at the Consulate

Because it was in English only — and the Russian consulate requires a notarized Russian translation (нотариально заверенный перевод на русский язык) with every seal, stamp, and handwritten note included.

You received the invitation from your MBBS university, booked the VFS slot, and the consulate returned the file.

"Invitation letter not acceptable. Submit notarized Russian translation (нотариально заверенный перевод) with line-by-line accuracy, including all seals and embassy stamps."

Why Russian consulates and universities insist on notarized Russian translation

Russian academic procedures use the specific term нотариально заверенный перевод на русский язык — a translation into Russian that is formally certified by a notary with stamp, signature, and declaration page. A simple "certified translation" by a translation bureau is not the same thing. Here is what Russian universities (HSE, Minin, NIC, RECAS) actually check:

  • Line-by-line translation — every word, every stamp, every seal, every handwritten note on the original invitation must appear in the Russian translation. No skipping.
  • Notarization in the right jurisdiction — India has a legal assistance treaty with Russia, so Indian notarization is accepted. If your country does NOT have a treaty, the translation must carry a Russian Embassy / Consulate consular stamp.
  • Translator declaration — signed statement of accuracy, translator name, contact details, and stamp.
  • Apostille / legalization before translation — the invitation letter may carry an apostille or consular legalization. The translator must translate the apostille text together with the invitation — translating first and apostilling later forces a redo.
  • Name consistency — name in the invitation, passport, NEET scorecard, and translation must all match exactly.
  • Consular routing details — the invitation must name the correct Russian consulate / embassy with jurisdiction over your Indian state.

Real rejection · 2026

A student from Kerala submitted an English-only invitation letter from Kursk State Medical University to the Russian Consulate in Delhi. The consular officer returned it — they required a notarized Russian translation with the translator's declaration page, including the university's seal and the consular routing reference. The student lost 12 days re-preparing.

Notarized Russian translation — what Indian students must know

Many students confuse a translation bureau's stamp with notarial certification. They are not the same. A bureau can prepare the translation, but the formal package needs:

  • The original invitation letter (not a photocopy)
  • The Russian translation — line by line, all stamps, all seals, all handwritten notes
  • Notary certification page — Indian notary stamp and signature confirming the translator's identity and the accuracy of the translation
  • True-attestation — if required by the consulate, an additional Indian attestation chain (SDM → MEA apostille) on the certified translation

HSE / Minin / NIC — what these universities say about translation

HSE University allows an online translation for initial assessment but requires original documents with officially notarized translation for enrollment. Minin University states that stamps, seals, signatures, apostilles, and legalization stamps must all appear in the translated set, and the notarized translation should not be sewn to the original. NIC (recas.ru) states that all academic and legal documents must be translated into Russian by a certified translator and notarized, with apostille or consular legalization depending on the country.

How to get your invitation letter notarized-translated — step by step

01

Get the original invitation letter from the university

Request the original (not a scan) from the university's consular department. Confirm it is on official letterhead, names you correctly, and has the consular routing reference for your Indian city.

02

Notarized Russian translation — line by line

We translate the invitation letter into Russian with line-by-line accuracy, covering every seal, stamp, handwritten note, and routing reference. Translator declaration with stamp and signature.

03

Indian notarization (legal assistance treaty route)

Because India has a legal assistance treaty with Russia, Indian notarization is accepted. The notary certifies the translator's declaration with Indian stamp and signature.

04

Confirm with Russian consulate

Some consulates require an additional consular stamp from the Russian Embassy / Consulate in India. Confirm with your VFS / consulate appointment before final submission.

05

Submit to university registrar + consulate

Bundle the original invitation + certified Russian translation + notary attestation with your visa file. Submit to the university first, then to the Russian consulate for student visa.

Common questions

Does the Russian invitation letter need to be translated into Russian?

Yes. Russian consulates require the invitation in Russian or with a notarized Russian translation (нотариально заверенный перевод на русский язык). English-only invitations are returned.

Is Indian notarization accepted by Russian universities?

Yes. India has a legal assistance treaty with Russia, so Indian notarization is accepted. For countries without a treaty, a Russian Embassy / Consulate consular stamp is required.

Does the translation need to be line by line?

Yes. HSE, Minin, NIC, and RECAS all require line-by-line translation — every word, stamp, seal, and handwritten note must appear in the Russian translation.

Is a translation bureau stamp the same as notarization?

No. A bureau stamp is not notarial certification. The formal package requires a notary certification page with stamp and signature.

Does HSE accept an online translation for initial assessment?

Yes, for initial assessment only. For enrollment, HSE requires original documents with officially notarized translation in Russian.

Should the apostille text be translated together with the invitation?

Yes. If the invitation carries an apostille, the translator must translate the apostille text together with the invitation. Translating first and apostilling later forces a redo.

How long does notarized Russian translation take?

Standard: 2–3 working days per document. Express 48-hour delivery available. Add 3–5 days for SDM attestation + MEA apostille if required.

Can you handle the full invitation-to-visa chain?

Yes. We coordinate certified Russian translation, notarization, SDM attestation, MEA apostille, and consular consultation for invitation letters. WhatsApp +91 8750 6465 17.
